Freelance admin gets messy fast.
Client notes live in email. Tasks sit in a project board. Time is tracked in a spreadsheet. Invoices are created somewhere else. Qivora brings the full workflow together so nothing gets lost between winning the work and getting paid.
Leads in email
Notes in documents
Tasks in project tools
Time in spreadsheets
Invoices in another app
Payments tracked manually
Every handover between two of those is a place where a billable hour, an approval, or an unpaid invoice goes unnoticed.
The connected workflow
From first lead to final payment.
Qivora connects your client workflow end to end: capture leads, send proposals, sign contracts, manage projects, track billable work, create invoices, and follow up on payments.
Each step stays attached to the client record, so an approved proposal becomes a project, and tracked time on that project becomes invoice line items, without anything being typed twice.
Everything a service business runs on.

Built for people who bill for their work.
The workflow is the same everywhere. What differs is which part you lean on, so each of these covers the setup that kind of work usually replaces.
For freelancers
Run your freelance business like a real business.
Client details scattered across email, notes, and your phone
For independent consultants
Look as established as the advice you give.
Retainers that quietly get under-billed month after month
For designers
Spend more time designing and less time chasing sign-off.
Approvals buried twenty replies deep in an email thread
For developers
Ship code, not admin overhead.
Billable hours lost between context switches
For small agencies
Run the agency without the tool sprawl.
Client history trapped in one person's inbox
For coaches
Keep the focus on your clients, not the paperwork.
Session notes and client history spread across documents
AI
AI drafts the parts that are mostly typing.
Qivora writes first drafts of the client admin you would otherwise retype: proposal sections, a summary of what has happened on a client account, tasks pulled out of project notes, and a flag on tracked time that has not been invoiced yet.

What Qivora deliberately does not do.
Qivora covers the client workflow from lead to payment. It is not trying to be the only application you open all day, and there are four things it leaves to the tools that do them better.
Accounting and tax filing
Qivora keeps the invoice and expense records. Reconciliation, ledgers, and filing stay with your accountant or your accounting package, and you export clean figures for them.
Payroll
You can track what a contractor worked and bill a client for it. Paying salaries, handling deductions, and filing returns are somebody else's job.
Team chat
Discussion belongs on the task or the client record, where it stays findable a year later. Qivora does not try to replace the chat tool your team already uses.
An enterprise sales CRM
The CRM here holds clients, contacts, notes, and history. It has no lead scoring, territory rules, or forecasting models, because a five-person service business does not need them.
Simple, transparent pricing.

Guide
Not sure you need software like this yet?
We wrote the comparison we would want to read, including the three cases where a spreadsheet is genuinely the better answer and you should not buy anything.

Who is Qivora for?
Freelancers, independent consultants, designers, developers, small agencies, and coaches who bill clients for their time or their projects. It suits people who have outgrown a spreadsheet but do not want an enterprise CRM.
Can I use Qivora as a solo freelancer?
Yes. Nothing in Qivora requires a second user. Clients, projects, time, and invoices all work for a team of one, and you can add people later without moving your data.
Does Qivora replace my project management tool?
For most freelance work, yes. You get projects, milestones, tasks, and assignments. The difference from a standalone board is that a task belongs to a client, so the hours logged against it can go straight onto an invoice.
Can I create invoices from time entries?
Yes. Track time against a project, then select the approved entries and turn them into invoice line items. Expenses attach the same way, so a rebilled cost lands on the invoice without being typed twice.
Can clients approve proposals and pay invoices themselves?
Yes, through the client portal. A client can open a proposal, approve it, sign the contract, see project progress, and pay the invoice from the same link, without an account on your side.
Does Qivora support recurring invoices?
Yes. Set an invoice to repeat on a schedule and retainers or monthly packages bill without you remembering. Reminders for overdue invoices can also be automated.
Can I invite team members or contractors?
Yes, on the Team plan. Invited people can work on shared clients and projects and log their own billable time, which then shows up in the same reporting as yours.
Can I export my data?
Yes. Your clients, projects, time entries, and invoices are your records and can be exported. Qivora is not accounting software, so exporting is also how you hand clean figures to an accountant.
