What usually goes wrong

Retainers that quietly get under-billed month after month

Scope creep with no written record of the original agreement

Proposals in one tool, contracts in another, hours in a third

Admin time that should have been advisory time

What it replaces

The setup this usually takes the place of.

  • A proposal document rewritten from the last one
  • A signed PDF sitting in a mail thread from March
  • A calendar reminder to raise the retainer invoice
  • Guesswork about which engagement is actually profitable

The four parts you will open every week

All ten product areas are included on every plan. These are the ones this kind of work leans on.

Proposals

Scope an engagement in writing and let the client approve it online.

Contracts

Templates and signatures stored against the client, so the agreed scope is findable.

Recurring invoices

Bill a retainer on a schedule rather than from memory.

Reporting

See revenue per client, unpaid work, and where the hours actually went.

Example

How a retainer runs

You agree a monthly retainer and send a contract for signature. A recurring invoice bills it on the first of each month without you touching it. Your hours log against the engagement, so when the client asks what the retainer covered in April, the answer is on the record rather than in your head.

Questions independent consultants ask

Can I bill a retainer and hourly overage on the same invoice?

Yes. A recurring invoice covers the fixed retainer, and you can add lines from tracked time for work beyond the agreed scope before it goes out. The client sees the base and the overage separately.

How do I prove what was in scope when a client disputes it?

The approved proposal and the signed contract stay attached to the client record, with the date they were approved. Time entries are logged against the same engagement, so the record of what was agreed and what was done sits in one place.

Does Qivora handle multi-currency for international clients?

Invoices carry a currency, so you can bill a client in the currency you agreed. Qivora is not accounting software, so conversion for your books and any tax treatment stay with your accountant.
